Priya: Ah there you are Prakash. Do you remember our last conversation?

Prakash: Of course, I remember Priya. Here’s my formula for a great email, it has to have 4 points.

Priya: That’s it? You could have told me this the other day right!

Prakash: Ha! There’s a way to write each point. The first point is to set the context. Why are you writing to that particular person? The second point is to tell them the reason for the email. State it clearly, precisely, courteously and with as few words as possible. What do you want and why do you want it. The third point is to tell them what you want next. For instance, do you want the information by a particular date? The fourth and last point is to open the floor for conversation, questions, or to simply thank them for their time. Not including this line would seem bossy and aggressive. This line gives you a chance to end the email on a positive, collaborative note.

Priya: That’s it? So it’s why them; for what; what next; questions.

Prakash: Splendid. That’s a great summary. Trust you to give my formula a practical twist!

Priya: Sigh! I’m sure you’re making it sound really simple but when I try to write it’s going to be hard to do it as clearly.

Prakash: Once you get a hang of it, people will actually love your emails too! Think about it, a precise email, whether seen on the computer or a mobile, is easy to read and action.

Priya: As always, you’re right! Be ready to receive some practice emails from me. I look forward to mastering this formula.
